How does invoicing work at tiney?

Everything you need to know about invoices

Written by tiney team

Monthly invoices are generated in the month before the care takes place, and are initially set to Draft, meaning that only you can see them. You can then check them over, make edits, and send to guardians from your app.

When will my invoices be generated?

Generally, invoicing happens monthly in advance for children with a regular schedule of care (though we can also offer weekly invoicing, and if the family are using Student Finance, this has to be billed weekly in arrears).

We aim to have your invoices drafted around the middle of each month, for care scheduled in the following month.

Invoices won't be generated automatically for children on flexible/ad-hoc placements, so please get in touch with us when you want to create an invoice for them.

How can I view my invoices?

Head to the Wallet section in your tiney app. You'll be able to see all your invoices here. To see the details of each one, tap on it, and then tap View Invoice PDF.

What do the invoice statuses mean?

Status

What it means

Draft

The invoice has been generated, and is editable. Draft invoices are not visible to guardians.

Open

The invoice has been sent to the guardian. It can no longer be edited - if changes are needed, a new invoice must be created.

Paid

The invoice has been paid.

Partially paid

Some payment has been made towards the invoice, but an amount remains unpaid.

Overdue

The invoice is unpaid and the due date has passed.

When do guardians see their invoices?

Invoices which are set to Draft are not visible to families, only to you and tiney. During this time, you can check your invoices and make any changes needed (see our article here for guidance on invoice amendments).

Once you're happy, you can share the invoice with the guardian by pressing Send.

In the last week of the month, we open all unsent invoices for the next month's care, to ensure that guardians have enough time to pay.

If you don't want us to do this for your invoices, please send us a message and we'll make sure you're opted out of this process.

How long do guardians have to pay?

Invoices are due as standard on the last day of the month, for the next month's care. Please let us know if you would like us to set a different regular due date.

Notifications are sent to guardians for open invoices if the due date is under 12 days away.

If an invoice's due date has passed and it remains unpaid, the guardian will receive automated reminders every 5 days until the invoice is paid or removed.

How can I edit my invoices?
