How do I record medication?

Understanding how to create a Medication post in the Journal

Record any medication you need to give your children whilst they’re in care at your setting. You’ll be able to add information about the medication, include the type and dosage and add any notes you want to share. This ensures clear communication, compliance and accurate records for every medication.

Understanding recording medication

You must obtain and upload evidence of the guardian’s permission for each new medicine. This could be a screenshot of a text message or photo of a paper consent form. Ensure you have this before giving any medication and creating a medicine record post.

  • Obtain and Upload guardian consent

  • Add information about the medication, include the type and dosage and add any notes you want to share.

Note: Once a Medicine post is posted, the parent will be notified immediately and they’ll be prompted to add a comment to say they acknowledge they’ve seen the post.

Uploading guardian consent

  • Tap on the Guardian consent field

  • Select Camera (to take a photo) or Photo library (to select the image)

  • Tap Next to continue

  • Read and check you understand the statements.

The medicine must be in-date, you must know the correct dosage and the time of the child’s last dose and if it’s prescription medicine, check that it is prescribed to the child and the name label matches the child’s name.

Edit the date and time

  1. Tap on the date and time field

  2. Scroll to the date and time you want

  3. Tap Done

Add the name of the medicine

  1. Tap on the Name of medicine field

  2. Type the name of the medicine being administered

  3. Tap outside of the field or press Return on the keyboard

Select the medicine form

  1. Tap on a tag to select it

Add dosage amount

  1. Tap on the Dosage field

  2. Enter the amount

  3. Tap outside of the field or press Return on the keyboard

Select reason for medication

  1. Tap on Reason for medication

  2. Select the reason

Add a note

  1. Tap on the Note field

  2. Type your note

  3. Tap Done

Preview and save (for later)

  1. Tap Preview

  2. Read and check your post, you can press Back to edit.

  3. Tap Save

Note: The medicine post will be saved to your Drafts.

Preview and post to Journal

  1. Tap Preview

  2. Read and check your post, you can press Back to edit.

  3. Tap Post

Note: Once a Medicine post is posted, the parent will be notified immediately and they’ll be prompted to add a comment to say they acknowledge they’ve seen the post.

Edit a published Medicine post

  1. Find the published post in the child’s Journal feed

  2. Tap on the More icon […]

  3. Select Edit

  4. Make any edits as required, preview and tap Update

Note: Yourself and the guardian will see the updated post instantly. The guardian will not be notified that the post has been updated.

Delete a published Medicine post

  1. Find the published post in the child’s Journal feed

  2. Tap on the More icon […]

  3. Select Delete

  4. Confirm you want to delete the post by tapping Delete

Note: The post will be removed from your feed and the guardian’s feed. The guardian will not be notified that the post has been deleted.

Can I create multiple Medicine posts at the same time?

No, the Medicine post type can only be used for one child as it is a sensitive post individual to each child.

What will the child’s guardian see?

When guardians open the app, they’ll be able to see the list of journal entries exactly as you see them.

Can others at my setting create Medicine posts?

Yes! All registered childminders and assistants at your setting have access to create Medicine posts.
