How do I add a new expense?

Step by step instructions on how to add a new expense on the app

From your Wallet home screen, tap "View expenses" to see your expense tracker.

You'll see two options:

Option 1: Scan with AI

Choose "Scan with AI" to let our AI read your receipt and fill in the details automatically.

  1. Choose Camera to take a photo, or Photo library to use an existing image

  2. Wait while the AI processes your receipt

  3. Review the results – the AI will extract the total and other details

    You can choose to:

    Full receipt – expense the entire amount

    Select individual items – pick specific items from the receipt

  4. Review and edit any details before submitting

Tip: AI scanning works best with clear, well-lit photos of receipts. You can always make corrections if something isn't quite right.

Option 2: Manual Entry

Choose "Manual entry" to fill in all the details yourself. Fill in:

The cost (e.g., £20.00)

Expense name

A description (e.g., "Nappies")

Date

When you made the purchase

Category

What type of expense it is

Receipt

Photo of your receipt (required for expenses over £10)

Notes

Any extra details for your records (optional)

Tap Submit when you're done.

What categories can I choose from?

When adding an expense, you'll choose from these categories:

Core Operations:

  • Admin & Finance - Accountancy charges, folders, notebooks, pens, printer paper

  • Council Tax, Water Rates & Rent - Property-related costs

  • Household Bills - Contents insurance, internet, phone, subscriptions

  • Travel - Car insurance, fuel, maintenance, public transport

  • Utilities - Electricity, gas, oil

Childcare Delivery:

  • Food & Drink - Meals, snacks, drinks, baby/toddler-specific items

  • Home Supplies - Cleaning, kitchen, or sleeping supplies

  • Outings - Entry costs, essentials, or safety supplies

  • Personal Care - Cream, nappies, toothpaste, towels

  • Toys & Equipment - Items used for learning and play

People & Growth:

  • Advertising - Materials to market and promote your setting

  • Payroll - Expenses or salaries related to employees

  • Training - Books, courses, subscriptions for CPD and child resources

  • Other - Miscellaneous expenses
