How to edit care after an invoice has been paid

How to make changes to care that's been paid for, and what this means for your invoices

As of June 2026, we've rolled out a new feature allowing childminders to make updates to care in Calendar after the parent has paid the invoice for that period. Your original invoice will remain the same, and a new invoice will be created to account for the changes. That invoice will be ready for you to view, edit, and send as normal.

If your changes result in a negative amount overall, please get in touch with us if you'd like to arrange a refund or credit for the family.


Making the edit

  1. Open Calendar and tap on the day you want to amend.

  2. Tap Edit schedule.

  3. Adjust hours, fees, or consumables as normal.

  4. Tap Next.

Next, you'll be asked to review and confirm your changes. This page shows three lines:

  • Original total: this is the charge for all care in the period prior to your edits

  • New total: this is the total charge for all care in the period, including your edits

  • Difference: the amount being added or removed.

You'll also see a note that a new invoice will be created.

Tap Confirm to apply the change.


How we invoice for the changes

After you tap Confirm, a new invoice will automatically be drafted to account for the changes you've made. Like any new invoice, you can open it when you're ready to send it to the guardian, or keep editing the period if you've got more changes to make. Your original paid invoice stays exactly as it was.

What if I've got more changes to make?

If the new invoice is still in your drafts, any subsequent edits you make will update it, so all those adjustments are together.

Once you open and send it (or it's been paid), that invoice can no longer be updated, but don't worry - the next edit you make creates a new draft invoice.

If I'm adding extra care to a paid period, will the charges be rolled into the next month's invoice?

No: they'll remain in the separate invoice, and you'll be able to view this and send it to parents as normal.

Can I remove care that's been paid for?

Absolutely! The invoice can include both added and removed line items together. The total is the net of everything you've changed, and that's what the guardian sees.

Once you've made all your edits:

  • If the total is positive, you open the invoice and send it like any other.

  • If the total is negative, the draft will show a negative amount. A negative invoice cannot be sent to parents, so this will remain in your drafts.

I've finished my edits and my invoice has a negative total: what do I do?

Please get in touch with us if you'd like to issue a refund to the guardian, or have this amount credited to their next invoice. We won't do this automatically, so it's always your call.
