You can edit a day's care in Calendar even after the parent has paid the invoice for that period. tiney creates a separate additional invoice for any extra charges, or a negative invoice if the total goes down. Your original paid invoice stays exactly as it was.
This article covers what to expect when you make that edit, and what happens when care is reduced.
Making the edit
Open Calendar and tap the day you want to change.
Tap Edit schedule.
Adjust hours, fees, or consumables as normal.
Tap Next.
Reviewing the change
On the Review & confirm screen you'll see three lines:
Original total, what was originally invoiced
New total, what the total would be with your edits
Difference, what's being added (or removed)
You'll also see a note that a new invoice will be created.
Tap Confirm to apply the change.
How we invoice for the changes
After you confirm, tiney creates a draft additional invoice in your Invoices section. Like any new invoice, you can open it when you're ready to send it to the guardian, or keep editing the period if you've got more changes to make. Your original paid invoice stays exactly as it was.
We'll create one additional invoice per month. Any further edits you make to that month's care will land on the same draft invoice, so all the adjustments you make sit together. Once you open and send it (or it's been paid), the next edit creates a new draft.
The invoice can include both added and removed line items together. The total is the net of everything you've changed, and that's what the guardian sees.
If the total is positive, you open the invoice and send it like any other.
If the total is negative, the draft will show a negative amount. You can keep editing, say by adding those hours to another day, and the same invoice will update. If you're not adding anything back and the invoice stays negative, you can message us to arrange a refund with the guardian. tiney won't process refunds automatically, so this is always your call.
Example
Isabella leaves two hours early on Monday. You edit Monday to remove those two hours, and tiney creates a draft additional invoice with one line item: -£16.
Later in the week, Isabella stays for three extra hours on Thursday. You edit Thursday to add them, and the same draft invoice updates with a second line item: +£24.
The invoice now shows both line items together, with a net total of +£8. You open it and send it to the guardian like any other invoice.
What the guardian sees
The guardian sees the new invoice in their tiney app. The original paid invoice is unchanged.
