You can now edit your care schedule directly in the tiney app — no need to message our team. Any changes you make to the schedule will automatically update your invoices, so your billing always reflects the care you actually deliver.
This is useful when a guardian asks to change their hours for a specific day, or you need to add an extra session that wasn't originally planned.
View the demo here
Where to find it
Open your Calendar in the tiney app
Select the day you want to view or change
Tap on the child you want to edit
You'll see the child's detail view for that day, which shows their Register (actual attendance) and Schedule (what you're billing for). Tap Edit schedule to make changes, or Add schedule if nothing is scheduled yet.
What you can edit
When you tap Edit schedule, you'll see a summary of the day's charges. From here you can tap into each section to change it:
Time
Adjust the start and end time for a session. You can also remove a session by tapping the remove icon next to it, or add another session by tapping Add another session.
Rates
Choose the rate type for the session — for example, Standard hours, Day rate, Funded hours, Out of hours, or Breakfast/Afternoon club. Each rate has its own hourly or fixed price.
Note: it's only possible to add rates that you've agreed in your contract. If you can't find a fee type that you need to add, or the ability to add fees isn't showing, you should adjust the enrolment's contract to include them.
Fees
Select any additional fees that apply to the day, such as Drop off or Pick up fees.
Note: it's only possible to add fees that you've agreed in your contract. If you can't find a fee type that you need to add, or the ability to add fees isn't showing, you should adjust the enrolment's contract to include them.
Consumables
Select any consumables you're providing, such as Snack, Meal, Morning meal, Afternoon meal, Evening meal, or Non-food consumables.
Note: it's only possible to add consumables that you've agreed in your contract. If you can't find a consumable that you need to add, or the ability to add consumables isn't showing, you should adjust the enrolment's contract to include them.
Once you've made your changes, you'll see an updated total for the day. Tap Next to review everything before confirming.
Reviewing and confirming your changes
Before anything is saved, you'll see a Review & confirm screen showing:
The child's name
The original total and new total for the day
The difference (how much more or less you're charging)
The date the change applies to
Check everything looks right, then tap Confirm.
You'll see a confirmation screen letting you know the schedule has been updated.
Adding care to a day with nothing scheduled
If a child doesn't have any care scheduled on a particular day, you'll see a message saying the child isn't scheduled. Tap Add schedule to set up the hours, rate, fees, and consumables for that day.
This is useful when you provide ad-hoc care that wasn't part of the original arrangement — for example, a guardian asks you to look after their child on a day they don't usually attend.
If the day is in the past and you recorded attendance but didn't schedule any care, you'll see a prompt reminding you that you haven't charged for the day. Tap Add schedule to add the billing details so it's included in the next invoice.
Removing care from a day
If a child is no longer attending on a scheduled day, you can remove the care by editing the schedule and removing each session. Tap Edit schedule, then tap the remove icon next to each session to clear them.
How schedule changes affect your invoices
Your care schedule is what powers your invoices — when we generate an invoice, we use the schedule data to calculate what you're owed. Keeping your schedule up to date means your invoices will be accurate and you'll have fewer issues to sort out.
Here's what happens depending on when the change is:
Future date, no invoice yet
Your changes are saved to the schedule and will be picked up when we generate the invoice for that period. Nothing else happens — the invoice will reflect your updated schedule automatically.
Date that's already been invoiced (but not yet paid)
If we've already created an invoice that includes the day you're editing, your changes will update that invoice. What happens next depends on its status:
If the invoice is in draft (you haven't sent it yet): the draft will be updated with the new amounts. It stays in your drafts for you to review and send when you're ready.
If the invoice has been sent to the guardian (open status): we'll void the existing invoice and create a new one in your drafts with the updated amounts. You can then re-send it to the guardian when you're ready.
If your changes mean there's no care to bill at all for the entire invoicing period, we'll void the invoice without creating a new one.
Date that has been paid for
It's not currently possible for you to make a change to a date that has already been paid for, but we're looking to introduce this soon. If you need to change your schedule on a date where the guardian's paid the invoice, please message us and we'll be happy to help.
Ongoing or permanent changes
The schedule you see in your calendar is based on what's set in the child's contract. If a guardian is permanently changing their hours or days — for example, switching from 3 days a week to 2 — you'll need to message our team so we can update the contract and ongoing schedule for you.
We're working on adding the ability to make ongoing changes directly in the app, so watch this space.
Good to know
All schedule changes apply to the specific date you're editing. They won't affect other days.
Guardians can't see your schedule data — they can only see their child's attendance history in the Register.
Assistants can't see schedule data either, as it contains billing information.
Changes are saved immediately once you confirm — make sure you review the summary carefully before tapping Confirm.
