When you tap on a child in your calendar, you can now see a detailed breakdown of what you're charging for that day. This makes it easy to check your billing is correct and understand exactly how the daily total is calculated.
What you'll see
The child's detail view is split into two sections: Register and Schedule.
Register
The Register shows the child's actual attendance for the day — when they arrived, when they left, and whether they were marked as Present or Absent. If no attendance has been recorded, you'll see a prompt to add it.
Schedule
The Schedule section shows what you're billing for. This is the data that powers your invoices. It includes:
Time and rate — the session hours and which rate applies (e.g. Standard hours @ £8.00/h), with the calculated amount
Fees — any additional fees for the day, such as Drop off or Pick up, with the subtotal
Consumables — any food or non-food consumables provided, such as Snack or Meal, with the subtotal
Total — the overall amount for the day
Invoice status
Below the schedule breakdown, you'll see the current invoice status for that day. This tells you where things stand with billing:
⚪ No invoice yet — the day hasn't been included in an invoice. This is normal for future dates or recent care that hasn't been invoiced yet.
⚫ Draft: View Invoice PDF — an invoice has been generated but you haven't sent it to the guardian yet. You can tap to view the PDF.
🔵 Open: View Invoice PDF — the invoice has been sent to the guardian and is awaiting payment. You can tap to view the PDF.
🟠 Partly paid: View Invoice PDF — the guardian has made a partial payment. You won't be able to edit the schedule for this day until the invoice is fully settled.
🟢 Paid: View Invoice PDF — the invoice has been fully paid. You can tap to view the PDF.
If the invoice is partly paid, you'll see a message explaining that the schedule can't be edited until the invoice is fully settled.
Editing from this view
You can tap Edit schedule directly from this screen to make changes to the day's billing. See How to edit your care schedule for a full walkthrough of the editing flow.
If there's no care scheduled, you'll see an Add schedule button instead.
Good to know
The Schedule section shows what you're charging for the day — it may differ from the Register if the child arrived early, stayed late, or was absent.
Guardians can't see your schedule or billing data — they only see the Register (attendance history).
Assistants can't see schedule data either, as it contains billing information.
Keeping your schedule accurate means your invoices will be correct when we generate them.
