You can now make permanent changes to a child's weekly schedule directly in the app. If a guardian is changing their regular hours or days, you no longer need to message us — just update it in your calendar and the change will apply to every future occurrence of that day.
Your schedule is what powers your invoices, so keeping it up to date means your billing is always accurate.
When to use an ongoing change
Use an ongoing change when something about the child's regular arrangement is changing permanently. For example:
A guardian is increasing from 3 days a week to 4
A child's regular Tuesday hours are extending from 9–3 to 9–6
You're adding a new regular day that wasn't in the original schedule
You're adding a meal or snack fee that now applies every week

How to make an ongoing change
Open your Calendar and select any occurrence of the day you want to change
Tap on the child you want to update
Tap Edit schedule
Make your changes — adjust the time, rate, fees, or consumables as needed
When you see the question "Is this a one-off or ongoing change?", select Ongoing change
Tap Next to review
The ongoing change option will apply your updated schedule to every future occurrence of that day. Any one-off changes you've already made to specific dates will stay as they are — they won't be overwritten.
Reviewing and confirming
On the Review & confirm screen, you'll see:
The child's name
The original total and new total for the day
The difference per occurrence
A note confirming the change applies to every future [day of week]
Check everything looks right, then tap Confirm.
How ongoing changes affect your invoices
Just like one-off changes, your schedule powers your invoices. When you make an ongoing change:
Future dates with no invoice yet: The new schedule will be used when we generate the invoice for that period. No action needed.
Dates already invoiced but not yet paid: If an existing invoice includes dates affected by the change, we'll update it. If the invoice is in draft, the amounts will be updated in place. If the invoice has already been sent to the guardian, we'll void it and create a new draft with the updated amounts for you to re-send.
Removing a regular day entirely
If a child is no longer attending on a particular day, you can remove all sessions from the schedule and select Ongoing change. This will remove that day from the child's weekly schedule going forward.
What if the contract needs updating too?
The schedule editor is great for adjusting the hours, fees, and consumables within an existing arrangement. If the change is bigger — like switching to funded hours, changing the contract type, or updating rates across the board — you may also need to update the contract. You can do this from Children tab by tapping Start a new contract.
